Reports to: Supply Chain Manager

Location: Nairobi

Main Purpose of the position:
Ensure customers orders are delivered in the most efficient and cost effective manner to achieve balanced high self visibility.

Main Responsibilities:
  • Processing of customers orders from point of order placing to final delivery and monitor order from capture to receipt of payment.
  • Maintain an accurate customers data base
  • Acknowledge customers complaints or suggestions, to assure customers and indicate course of action
  • Raise the analysis and standard of service reporting through actionable feedback to all cross functional teams.
  • Implement Company best practice requirements in all activities taken.
  • Identify a common approach to the customer
  • Propose appropriate collaboration levels depending on the type of customer, assortment and channel
  • To bring one approach to the customer across customer service & distribution and generating demand of the customers according to the service levels agreed upon
  • Define standards performance measurement systems to measure the performance of the customers according to the service levels agreed upon
  • Undertake frequent meetings with customers to discuss opportunities and challenges arising.
The ideal candidate should possess the following minimum skills and competencies;
  • Degree in Business Administration (Sales/Marketing)
  • Knowledge of imports and export process especially COMESA
  • At east 2 years experience in a busy customer service environment
  • Good communication
  • Interpersonal skills
  • Polite and courteous
  • Conflict resolution

Overall Job Function:

Reporting to the Assistant HR & Administration Manager, the Administrative Assistant- Front Office will be the entry point of ICAP Kenya responsible for coordinating all in-coming and out-going communication/records with key attention to both internal and external customers.

Duties and Responsibilities:
  • Deal with all telephone or personal callers to the office and refer them to the appropriate individual within the organization or assist in dealing with their request for information on the organisation or its publications as required.
  • Work in collaboration with the Program Managers/staff to develop a database for CIP Kenya project clients Market the culture of CIP Kenya to the public by communicating well about CIP Kenya; the business objectives, vision, Mission and Core Values.
  • Provide service to all staff by transferring telephone and personal callers to relevant staff members
  • Assist in the provision of secretarial services to the Program Managers
  • Sort all incoming mails and distribute them within the organisation as appropriate.
  • Record incoming and outgoing cheques
  • Order and log courier and taxi services
  • Manage the audio-visual booking system.
  • Be in-charge of board room bookings for meetings using the approved company template
  • Handle hotel bookings for the organization
  • Work in collaboration with the HR Manager and the Personal Assistant to the Country Director to ensure monthly reports from the Team Leaders reach the Country Director in good time
  • Undertake such other duties as may be assigned by the HR Manager or his/her designee from time to time.
Minimum Qualifications and Experience

Education and Experience
  • Diploma in Public Relations/ Customer Care/ Marketing
  • First degree in Social Sciences an added advantage
  • At least 3 years practical experience as in Front Office/ Public Relations
  • Computer literacy in MS Office- Excel, Word, Power point ( very essential)
Competences

Required Qualifications, Skills, and Competencies

  • Proven technical expertise in health programmes, especially working with the private health sector and/or commercial business
  • Willingness and ability to work in northern Kenya
Finance Associate
  • Manage field office financial and administrative operational needs, including expenses and invoicing, budgeting, program advances, bank reconciliations and field office monthly financial returns to home office.
  • Coordinate procurement, vendors, staff payroll, tax submissions and administration of other staff benefits (i.e., health care)
  • Ensure compliance with all donor and partner regulatory requirements
  • Assist program staff as needed
Required Qualifications, Skills, and Competencies
  • Bachelor’s degree in finance, administration, accounting or an equivalent
  • High level of computer literacy
  • Experience with finance, administration, and compliance among USAID programs
  • Possess excellent interpersonal, organizational and administrative skills
  • Willingness and ability to work in northern Kenya
