Purpose of position

This role will provide project support assistance to the Director for Maternal & Child Health (MCH) and the Nutrition and HIV Emergencies Advisor based in East Africa Regional Office (EARO), Westlands, Kenya

Major Responsibilities:
 
  • Assist team with research related to MCH, Nutrition and HIV as requested such as literature review.
  • Compile quarterly and annual activity reports for the MCH and Nutrition team.
  • Provide administrative support for events such as workshops, webex and conference calls. These include but are not limited to liaising with hotels/venues, organizing logistics, writing reports.
  • Provide support to the team with developing materials by assisting with TORs for consultants, time keeping, liaising with procurement and finance.
  • Provide administrative support such as publishing, printing, binding, scanning, faxing technical and project documents.
Qualifications: Education/Knowledge/Technical Skills and Experience

The following may be acquired through a combination of formal or self-education, prior experience or on-the-job training:
  • University Degree in Public Health/ Nutrition (or related or transferable field of study required in related field desired).
  • Must have computer aptitude and experience in database management, spreadsheet software and Internet usage. Proficient using Word, Excel, Power Point, or similar programs; email systems; extensive website and on-line skills.
  • Good writing skills in English.
  • 1 year of experience in project management and/or administrative responsibilities is preferable.

Job title: Executive Assistant and Communications Officer

Job summary

The jobholder is responsible for ensuring creative and appropriate communication services for the effective and efficient execution of civic education and engagement activities.

A key part of this role is developing and effectively executing a multi-media strategy to underpin Uraia’s programme activities.

S/he will also serve as the Executive Assistant to the Executive Director and offer administrative support to the senior managers.

Key responsibilities
 
  • Develop and implement the multi-media strategy and ensure its effective implementation based on current events and upcoming opportunities, in line with Uraia’s programme objectives.
  • Lead the day-to-day management of the Uraia media programme, including providing regular work plans, progress reports, and ensuring regular communications with all programme partners.
  • Advice on content development of key messages and topics to be discussed through mainstream and specialised media outlets, oversee production and placement of specially recorded Info commercials and obtain approval as is necessary.
  • Advice on branding and visibility in relation to media opportunities (use of logo, key messages, ownership of the programme etc.).
  • Ensure that media press cuttings and appearances are recorded and kept on file; obtain recordings of specific programmes from radio and TV stations for distribution and use in programme activities around the country, with a view to establishing the Trust Multi-media Resource Centre.
  • Participate in any editorial committees set up to develop special Uraia-branded TV or radio based programmes and identify guest speakers/spokespersons from the civil society that could appear in identified media slots.
  • Ensure greater awareness of quality civic education and engagement practices and accessibility of educational and informative materials.
  • Liaise with media monitoring services and interpret findings in light of the Uraia media strategy and Uraia Resource File contents whenever necessary.
  • Support and train consortia and CSOs on how to appear on the media through tailored media training.
  • Coordinate all Trust related programme communication including the outsourcing of these services.
  • Ensure regular contact and maintain relationships with media houses to ensure adequate coverage of programme related activities.
  • Provide information to upload on a regular basis on the Uraia Trust website.
  • In liaison with the Procurement Officer, develop terms of reference and tender documents for specific service delivery components, e.g. branding materials.
  • Develop and monitor the communication budget in liaison with the finance unit.
  • Provide administrative support to the Head of Programmes and Head of Support Services.
  • Manage the Executive Director’s (ED) diary and prioritize issues requiring his/her attention.
  • Handle all communications to and from the Executive Director’s office.

Academic and professional qualifications
  • An undergraduate degree in Communications, Public Relations, Media Relations or Sociology.
Experience

Job title: Administration Officer

Job summary

The jobholder maintains the accounting records and documentation of all financial transactions
and ensures their accuracy.

The role holder also participates in grant management responsibilities with respect to ensuring proper management of finances, administers the payroll and provides administrative support with regard to human resource related activities.

Key responsibilities
 
  • Prepare all payments with regard to utilities, supplier invoices and grant disbursements.
  • Manage the petty cash and imprest disbursements and establish and maintain cash controls.
  • Conduct bank reconciliations and submit weekly reports to the Finance Manager for review.
  • Maintain financial transactions including cashbook, ledgers, payroll, payment vouchers and fixed assets register and ensure transactions are properly recorded and entered into the accounting system.
  • Assist in the preparation of budgets and projections.
  • Implement financial controls in accordance with the Trust’s financial policies and procedures.
  • Administer the Trust’s payroll, pension scheme, insurance, staff welfare and other benefits and process payments for PAYE and NSSF contributions on a timely basis.
  • Assist the Head of Support Services in the recruitment process and ensure the safe custody of all employee records and documentation.
  • Assist in the co-ordination of external audits and implementation of the recommendations
  • Assist in overseeing purchasing and proper maintenance of vehicles, office furniture and equipment.
  • Oversee the repair of office facilities, vehicles and equipment and ensure this is done properly and on time.
  • Manage the Trust’s vehicle(s) through preparing a schedule for the Driver and ensuring that it is in proper working condition.
  • Maintain the integrity and confidentiality of records and information entrusted to him/her at all times.
