Senior Records Management Officer
JG M 
1 Post

Reporting to the Director, Human Resource, the Officer will be responsible for the following:
  • Storing, arranging, indexing and classifying records;
  • Facilitating the development of filing systems, and maintaining these to meet administrative, legal and financial requirements;
  • Devising and ensuring the implementation of retention and disposal schedules;
  • Responsible for overall record keeping and Management
  • Developing Records management policy and implementing the same.
  • Developing and managing the Registry.
  • Advising on proper ways of disposing documents that have outlived their usefulness.
  • Assisting the Government in developing best practice record Management procedures and ensuring that they are adhered to.
  • Ensuring proper, secure and computerized storage of documents for easy retrieval.
  • Overseeing the management of electronic and/or paper-based information;
  • Designing, setting up, maintaining, reviewing and documenting records systems;
  • Identifying the most appropriate records management resources;
  • Advising on and implementing new records management policies and classification systems;
  • Providing a policy framework to guide staff in the management of their records and use of the employer’s records system;
  • Ensuring compliance with relevant legislation and regulations;
  • Managing the changeover from paper to electronic records management systems;
  • Preserving corporate memory and heritage;
  • Responding to internal and/or external information enquiries;
  • Advising on complex legal and regulatory issues, often involving difficult judgments in controversial areas such as the Freedom of Information Act and other national or County legislation;
  • Training and supervising records staff;
  • Advising staff in other departments on the management of their records and information
  • Performing other duties that may be assigned from time to time by the immediate supervisor.
Qualification / Requirements
  • Be a Kenyan citizen
  • A bachelor’s degree in Information Science / Records Management.
  • Master’s degree in related field will be an added advantage.
  • Must have served as a Senior Records Management officer for 7 years.
  • Must demonstrate professional competence and administrative ability in handling records.
  • Good interpersonal skills.
  • Good knowledge in Computer applications.
  • Satisfy Chapter six of the constitution of Kenya 2010

The Association for the Physically Disabled of Kenya (APDK) is a Public Benefit Organization providing Rehabilitation Health care services to Persons with disabilities in collaboration with Government line Ministries in Health, Education and Social Security and Development in Kenya. 

The Organization has branches in Mombasa, Nairobi, Kisumu, Nakuru’ Eldoret, Kisii, Busia, Siaya, Machakos and Embu with support to 32 Counties. 

We wish to recruit a Records Officer / Data Clerk to be based at APDK National office Headquarters in Nairobi.


Duties include but are not limited to: 


  • Maintain a detailed database of appliances issued to clients via various funds availed by donors to APDK. 
  • To coordinate the generation of donor reports by maintaining up-to-date spread sheets on items donated to various needy clients through APDK branch networks.
  • Maintain proper and up-to-date records of all clients sponsored for auditing purposes. 
  • Work closely with the production department, stores and accounts to make sure items produced and issued a duly recorded and invoiced. 
  • Review documents submitted for donor funding and confirm all necessary information is captured before final submission.
  • Visit fields and reconcile all information on production of assistive devices. 
  • Work under the supervision of Monitoring and Evaluation officer in consultation with the National Programs Manager.

Required Qualifications:

  • A Diploma in Social development, health records and information systems or any other relevant qualification.
  • Minimum 2 years experience in a related field. 
  • Above average knowledge of the use of excel spread sheets , Microsoft word, Access, outlook and sage accounting programme will be an added advantage. 
  • Able to work with minimum supervision and meet strict deadlines in reporting to management.
  • Able to work independently and as a team.

Position: Aviation Technical Records Officer 

Reports to the Quality Control Manager 
 
Brief Description: Compile and maintain sound, reliable, efficient and up to date aircraft / component records for reliability and aircraft safety to enhance aircraft operations and maintenance scheduling demands as per Airworks Kenya Limited, KCAA & TCAA requirements.
 
Detailed Description:

  • Managing the company Aircraft maintenance programme, generation of work packs,  Preparation of all documents relevant to aircraft maintenance and management of the same upon completion
  • Receive, compile and accurately update records in the Company MRO system to reflect all aircraft defects, flight hours/cycles and component changes for tracking aircraft and component history and availability to other users and departments.
  • Compile, update and monitor all hard time components as listed in the Approved Maintenance schedule to facilitate aircraft maintenance planning.
  • Prepare and distribute monthly aircraft and engines utilization status reports /projections to facilitate maintenance Planning.
  • Compile and update aircraft logbooks as per laid down procedures to facilitate Certificate of airworthiness renewals, and engine & propeller maintenance and repairs.
  • Prepare aircrafts and components flight hour/cycles and send/provide to contracted parties such as owners, Lessors and maintenance providers.
  • File all completed aircraft maintenance documents and regularly transfer the same to technical archives for safe custody in accordance with the KCAA &TCAA requirements.
  • Auditing aircraft technical logs, Document Archiving & Any other duties related to Aircraft technical records & planning
Qualifications and Experience
  • Diploma in Aeronautical Engineering.
  • Over three years proven experience in the same capacity in a busy organization. Other relevant work experience will still be considered

  • Degree in Finance/Accounting/Business

4) Records Officer III 


1 Position
 

Reporting to the Records Officer I, the position is responsible for efficient management of Society’s records.
