- The global conservation organization, Kenya Country Office (KCO), is seeking
to recruit:
Administrative Assistant - Reception
To be based in Nairobi, Kenya.
Under the supervision of the Human Resource Manager, the Administrative Assistant- Reception will provide full time front office and administrative support to the functions of the administration and operations team.
Major job duties will include but not limited to:
- Receiving and guiding all visitors to WWF-ESARPO/KCO;
- providing general information to visitors about WWF-ESARPO and where possible about the network;
- undertake all switchboard operations;
- monitor the fax machine for all incoming and outgoing faxes.
- liaising with the Finance department, analyze all the telephone/fax bills monthly with a view to ensuring that costs are properly charged to the relevant cost centre;
- under the direction of the Operations department, assist in the typing of the custom documents;
- ensure the faxing of travel authorization forms and forwarding the same to Finance department, linking with travel agents for tickets;
- working closely with the Operation department coordinate office errands and transport requests;
- ensure that all office equipment are in good working conditions, reporting any breakdown promptly.
The
incumbent must possess:
- Secretarial/Front Office qualifications with a minimum of 3 years experience in a busy office;
- Diploma in Business Administration would be an added advantage;
- Excellent computer applications knowledge e.g. MS office;
- Excellent use of email systems;
- good physical outlook with excellent interpersonal skills, a pleasant personality with ability to work in teams in a multi-cultural environment;
- excellent computer skills; fluency in English and Kiswahili;
- adherence to WWF’s values, which are: Optimistic, Engaging, Determined and Knowledgeable.
