Reporting to the Chief Executive Officer, the Operations Manager will provide effective oversight of office administration and human resources working in the office and will be responsible for ensuring and improving the performance, productivity, efficiency and profitability of departmental and organisational operations.

Main tasks and responsibilities
  • Coordination and supervision - Coordinate, manage and monitor the workings of various departments in the organisation.
  • Financial – liaising with the accounting team. Assist with the preparation and control of operational budgets. Control inventory.
  • Best Practices - Improve processes and policies in support of organizational goals. Monitor adherence to rules, regulations and procedures.
  • Human Resources - Plan the use of human resources. Organize recruitment and placement of required staff. With the heads of the different business lines delegate tasks and accountabilities. Establish work schedules. Supervise staff. Monitor and evaluate performance.
  • Productivity - Monitor performance and implement improvements. Ensure quality of services provided to clients. Manage quality and quantity of employee productivity
  • Communication - Monitor, manage and improve the efficiency of support services such as IT, HR, Accounts and Finance - Facilitate coordination and communication between support functions.
  • Sales, Marketing and Customer Service – manage invoicing of clients and collection of payment. Manage customer support. Plan and support sales and marketing activities.
Desired profile of the candidate
  • Excellent communication (spoken and written), leadership and interpersonal skills is a prerequisite
  • Bachelors Degree from a recognised university
  • Excellent computer skills and proficiency in MS Word, MS Excel, MS Outlook, MS PowerPoint
  • Industry relevant experience in the services industry specifically business process outsourcing and contact centres would be advantageous.
  • At least 4-5 years experience in operations management
  • Good knowledge of financial procedures

Path is seeking an experienced Accounting Associate to manage the following responsibilities:

Perform monthly desk audit to ensure accuracy of Field Office Financial Reports (FOFRs)
  • Coordinate FOFR processing for assigned sites; work with staff in assigned field office/s to resolve all Financial Management/Operations questions.
  • Review exchange rate calculations and revise as necessary for compliance with PATH policy.
  • Approve bank account reconciliations and monitor outstanding payments.
  • Review documentation, investigate unusual transactions and correct errors or omissions to ensure compliance with PATH policy.
  • Request clarification or additional documentation on questionable items.
  • Advise field office financial staff of changes made to FOFRs; provide explanations and instructions as necessary.
  • Coordinate with Agreements Team to ensure proper recording of sub-agreement and sub-contract transactions.
  • Monitor all outstanding requests to/from field office/s to ensure all issues are fully addressed.
  • Answer questions and provide information to field and program staff on FOFR-related policy and procedures.
Participate as team member to improve efficiency of systems, support opening/closing offices, and train field office staff
  • Design/implement and evaluate/improve internal control systems and processes using tools such as flowcharts, process documentation, etc.
  • Assist with lease, bank accounts, and other facilities-related services set-up.
  • Conduct training on proper financial processes including segregation of duties, procurement authorization and thresholds, transaction documentation, cash handling, and related internal control practices and procedures.
Ensure that labor information from field office/s is recorded accurately
  • Review and analyze labor reports from field office/s, make corrections as needed.
  • Export corrected data to Payroll for labor database; compare totals with GL posting and resolve discrepancies.
  • Complete quarterly reviews of field office salary data to ensure changes have been captured by HR.
Complete quarterly reconciliation of assigned GL accounts for field office advances, taxes, deposits, loans, etc
  • Review account activity and balances for accuracy and reasonableness.
  • Research errors and stale items; prepare correcting entries as needed so balances are accurate and current.
  • Analyze exchange gains/losses and properly assign expense or recommend write-off.
Research and prepare journal entries for reclassification of expenses, as needed

Maintain current documentation of policies and procedures for assigned areas of responsibility.

Participate in annual audit process, preparing work-papers and schedules as assigned.

Required Skills

Applicant must have the following qualifications/skills:
  • Knowledge of USAID regulations particularly OMB Circular A-122 preferred.
  • High level of proficiency with computers and must have strong skills in MS Office software, particularly usage of complex Excel spreadsheet formulas and macros. Access databases, Solomon, and QuickBooks experience a plus.
  • Experience in multi-currency accounting and partner reporting highly desirable.
  • Superior communication skills, both written and oral. Demonstrated ability to communicate ideas effectively via e-mail, phone and in-person, with diplomacy and cross-cultural sensitivity. Experience in multi-lingual environment a big plus.
  • Experience in developing, conducting and facilitating training activities
  • Proven ability to balance multiple competing demands, maintain attention to detail, and consistently meet deadlines under time pressure.
  • Effective in working independently as well as have strong ability to collaborate as a member of a team from a different geographical location.
  • Able to read and speak French is desirable.

USAID awarded a comprehensive health service delivery project to PATH to improve the health of Kenyans in the western region of the country.

The project, APHIAplus, builds upon USAID/Kenya’s country-wide health service support project known as the AIDS, Population and Health Integrated Assistance II (APHIA II).

PATH and its partners will implement the APHIAplus project in Western and Nyanza Provinces from January 1, 2011 to December 31, 2015.

It will work closely with the Government of Kenya and a wide variety of non-government agencies to strengthen health care services throughout the two provinces.

In addition to addressing specific diseases, the APHIAplus project will work on strengthening the region’s health care system by rehabilitating health facilities, training staff, and supporting supply and communication networks.

The award, valued at US$143 million, is one of several region-specific health projects that USAID/Kenya plans to award in the near future.

PATH seeks to recruit a Grants Assistant to work closely with the Grants Officer and the finance team to provide technical assistance in organizational and systems development and good governance.

The main job responsibilities include but are not limited to:
  • Perform pre award and post award assessment of sub grants.
  • Provide information to assist in decision making on project modifications for sub grants.
  • Provide capacity building to CBOs/FBOs in strengthening HR, Admin and Finance systems to ensure proper management of funds and compliance with USAID and project rules and regulations.
  • Review sub grants financial reports for accuracy and ensure that these are adequately supported before forwarding them to the Grants Officer.
  • Ensure the sub grant monthly and quarterly financial and programmatic reports are done on time
  • Ensure strict adherence and compliance with USAID regulations by sub grants.
  • Ensure adequate supporting documentation.
  • Ensure conformity with the work plans.
  • Support the Grants Officer in orientation of new APHIA staff.
  • Maintain grant files, assist in tracking grants agreements and help team members comply with agreement policies and procedures as well as administrative requirements.
