The United Nations Office for Project Services
(UNOPS) – South Sudan Operations Centre (SSOC) is based in Juba, Republic of
South Sudan. Current SSOC operations are largely focused on assisting partners
with the implementation of physical infrastructure projects including
designing, constructing and rehabilitating roads and bridges, schools, clinics
and Government and Ministry offices. SSOC also procures goods and services for
a number of partners and provides logistics and operational support to
institutions in South Sudan with the overall objective to support partners in
achieving their programme goals.
UNOPS–SSOC
works with various partners including the government ministries of South Sudan,
donors, and United Nations agencies including the Food and Agriculture
Organization (FAO), the United Nations Development Programme (UNDP), the United
Nations Children’s Fund (UNICEF), the United States Agency for International
Development (USAID), the European Union (EU), the Department for International
Development (DFID) and the World Bank. Duties and Responsibilities Under the
direct supervision of the Management Support Officer, the incumbent will
perform the following
Duties:
Receives
Front Office visitors and escorts them to the concerned Senior Manager; Answers
and routes telephone calls and responds to the general queries of visitors and
provides assistance on any official documentation; Assesses the critical nature
of technical enquiries and refers them to the appropriate staff for a reply;
Registers all incoming correspondence (letter, faxes, and courier), documents
and other materials and ensures quick distribution of the correspondences and
maintains the chrono files of these documents; Sets up spreadsheets, database
files and tables ensuring appropriate presentation and style and accuracy of
information. Communicates information to all staff as instructed and directed
by the supervisor and/or Senior Management;
Provides
clerical support to senior management including making photocopies, scanning
and binding documents; Provides support to other units during peak workload
times and back-up as necessary; arranges all logistic issues related to travel
of senior managers; Assists in organizing meetings including booking of venue,
setting up of equipment and providing refreshments; Maintains archives, makes
sure files are properly stored and accessible; safe keeping of documents;
Maintains records system of file movements within the office; maintains office
circulation and reading files; Prepares correspondence and reports related to
registry activities; Performs other duties, as required. Required Selection

Ability
to work under general guidance; Good organization skills, attention to detail,
ability to prioritize and process large volumes of work; Aptitude for working
with computers, and ability to utilize a variety of software applications;
Ability to interact and communicate within a team and with clients; Ability to
perform detailed work and to have high sense of confidentiality, initiative and
good judgment;
Education/Experience/Language
Completed
secondary education or equivalent; any related certification would be an asset.
At least two (2) years experience in a similar position or office support
position is required. Experience could be relaxed depending on the
personality/motivational fit. Familiarity with computer applications a
requirement. Ability to work with computers and office software packages and
knowledge of spreadsheets and database packages. Good command of spoken and
written English is essential.
