Job Title: Senior Logistics Assistant (Contracting)
Duty Station: Nairobi (and elsewhere)
Post Grade: SC6 – Service Contract
Accountabilities: Under the direct supervision of the Logistics Officer and the overall supervision of the Head of Logistics, the incumbent will be responsible for the following duties:-

Job Title: Senior Logistics Assistant (Contracting)
Duty Station: Nairobi (and elsewhere)
Post Grade: SC6 – Service Contract
Accountabilities: Under the direct supervision of the Logistics Officer and the overall supervision of the Head of Logistics, the incumbent will be responsible for the following duties:-
Major Duties and Responsibilities:
- Assist in preparation and overall processing of Request for Quotations (RFQ) for all contracts related to logistics services.
- Organise all required meetings related to the contracting process.
- Assist in the preparation and dissemination of information regarding contract status and other information required.
- Monitor contract validity dates and other relevant information regarding each contract.
- Assist in the short-listing process of prospective service providers including preparations for advertisements, where applicable, receipt and review of documentation of interested service providers.
- Assist in the performance evaluation process.
- Act as the primary contact between the Logistics Unit and other WFP Units in relation to contracts in the absence of the Logistics Officer (Contracting) or as delegated.
- Assist in the development of contract management tools, templates, methods and processes for the contracts.
- Maintain database of information related to the contracts.
- Gather market intelligence, keep abreast of developments in the market as well as any regulations affecting the sector, as applicable.
- Assist in contingency planning and logistics preparedness reviews.
- Supervise and train staff as applicable.
- Perform other related duties as may be required.
Qualifications
and Experience:
Education: Successful completion of secondary school education (KCSE), preferably supplemented by a technical qualificationor university degree in business administration, statistics, economics, logistics, transport, shipping, law or other field relevant to WFP Logistics / contracting activities.
Experience: A minimum of five years’ practical working experience in one or more of the transportation and ancillary sectors: port operations, shipping, clearing and forwarding, air operations, large scale road/rail transport and distribution management. Good knowledge and experience in using computer software applications (MS Word, Excel and Access).
Skills: Ability to work with minimum supervision, to work quickly and accurately under time constraints and pressure. High sense of initiative and good judgment. Ability to work effectively in a multicultural team environment.
Results Expected: With initiative and judgment, produces organised, accurate and well documented records with well analysed data and addresses unforeseen situations seeking advice and guidance from supervisor, as necessary. Effectively assigns work to staff in lower grades.

- Ability to train other staff regarding relevant work responsibilities.

- Ability to deal patiently and tactfully with people of different national and cultural backgrounds.
Language: Very good written
and spoken English and fluent Kiswahili.
