Overall Job Function:
To ensure smooth running of the Finance
and Administration Department in terms of overseeing project expenditures in
close cooperation with the Director of Finance & Administration,
responsible for tracking payments made, including overseeing payroll expenses;
preparing financial reports as required and requests by funding agency and CHS
management; managing monthly Imprest reports; preparing cost analysis; and
ensuring full compliance with USG and CHS policies and regulations.
Major duties and responsibilities:
- Maintenance of a sound financial and project management system which entails entering information on Navision: checks, deposits, transfers, petty cash, bank reconciliations, advances reconciliation, reallocations to ensure up to date cash book at all times and accurate and timely monthly imprests with minimal or no queries
- Monthly reports accurately prepared and submitted in a timely manner
- Preparation of monthly wire projections/cash forecasts
- Timely and accurate Payroll preparation and payments of salaries and statutory deductions
- Maintain a system for the use of the office Imprest and undertake a monthly cash verification procedure to ensure proper use of the imprest;
- VAT reporting: Ensure disclosure of all VAT payments in the books for exemption purposes.
- Maintain a proper system of advances to employees, according to CHS policy, ensuring effective and optimum utilization of resources within the program
- Preparation of Audit support schedules and accounts
- Compiling the audit file.
Minimum Qualifications and Experience
- Bachelor’s degree in Commerce ( Accounting Option) or Business Studies from a recognized university
- A professional Accountancy qualification, such as CPA (K) or ACCA
- At least 5 years progressive work experience in similar positions with related responsibilities in the NGO sector
- Practical experience in developing and implementing strategies for grant
- Familiarity with the local and International accounting and auditing standards
