Administrative & Procurement Assistant for IITA

The Position
The Administrative & Procurement Assistant has the responsibility of providing timely and efficient administrative support to IITA staff and multiple projects. The position is based at IITA office in Nairobi, Kenya.
Key responsibilities will include:
1. Project Assistance:
- Maintain files of the program research projects and maintain a database of all program activities and calendars and ensure timely reminders to the program staff and scientists
- Organize a publications database of the projects.
- Identify articles and information to inform proposal development.
- Update website under supervision of scientists and in collaboration and interaction with the web master
- Administrative and logistic support to project students – contracts, accommodation, transport, insurance, etc.

Procurement and Assets:
- Initiate requisitions for procurement of project supplies.
- Receive supplies and confirm they meet specifications.
- Update register of project assets.
3.
Travel, Conferences/Workshops:
- Coordinate travel arrangements for IITA staff, collaborators and visitors (tickets, airport transfers, visas, hotels, etc.)
- Manage travel authorization process for project staff and collaborators.
- Coordinate conferences and workshops both locally and internationally and provide secretarial, logistical and financial administration during the activity.
- Preparation of workshop reports as required.
Requirements:
- Degree or Higher Diploma in Business Administration, Management or other relevant subject with proven office management skills.
- At least three (3) years of relevant work experience in a closely related field gained in an international organization with proven experience in procurement services.
- Possess excellent interpersonal and communication skills, good judgement and a high level of respect for confidentiality.
- Strong ability to co-ordinate, prioritise and organize workload; take initiative and work under pressure.
- Highly effective planning, organizational and multi-tasking skills with a positive attitude and strong administrative service orientation.
- High level of computer skills, ability to handle basic accounting and ability to learn new applications quickly.
- Excellent oral and written communication skills.

This is a national position and will be for an initial period of Two (2) years, renewable subject to six (6)
months’ probation, assessment of performance, and availability of resources.
