Procurement and Logistics Officer

The
Procurement and Logistics officer will oversee the import and export of stocks
around Kenya and Tanzania region
Duties and Responsibilities
Duties and Responsibilities
- Prepare
and process requisitions and purchase orders for supplies and equipment.
- Liaise
with international suppliers to ensure timely issue of PI, originals of
all relevant import documents
- In
liaison with relevant internal departments, ensure bills are verified and
timely preparation and payment of IDF.
- In
liaison with shipment subcontractor, ensure that goods and commodities are
shipped from the supplier and cleared with customs in a timely manner
- Follow
up with the clearing agent to ensure timely lodging of customs entry and
expeditious movement of goods through customs to avoid demurrage/ storage
charges.
- Ensure
goods received are as described in order, packing and shipping documents
- Oversee
the distribution of goods from the warehouse and manage reverse logistics
where necessary
- Control
purchasing department budgets.
- Review
purchase order claims and contracts for conformance to company policy.
- Maintain
records of goods ordered and received and update all relevant staff.
- Analyze
market and delivery systems in order to assess present and future material
availability.
- Develop
and implement purchasing and contract management instructions, policies,
and procedures.
- Arrange
for disposal of surplus materials and advise on goods exceeding product
shelf life .
- In-charge
of monthly stock take activities and ensuring no stock variances arise
Person
Specifications
- Diploma
in Procurement & or Supply chain Management
- Minimum
3 years experience in procurement & logistics dealing in of a wide
range of stocks
- 1
year Experience in use of sage pastel
- Knowledge
in international standards in procurement
- Knowledge
in security and safety systems is an added advantage
- Analytical
and keen to detail
- Excellent
communication and interpersonal skills
- Work
with minimum supervision

Post
The Stores Assistant will assist the Procurement & Logistics officer in stock management of various security and safety systems and equipment of the company by ensuring tight stock controls are in place and adhered to.
The Stores Assistant will assist the Procurement & Logistics officer in stock management of various security and safety systems and equipment of the company by ensuring tight stock controls are in place and adhered to.
- Assisting
in the day to day operations of the Stores Department
- Issuance
of products to various concerned personnel as requisitioned using the
sales invoices.
- Co-ordinating
and advising on stock movement by ensuring there are accurate and up to
date stocks.
- Co-ordinate
branch stocks, inter branch stock transfers.
- Carrying
out daily & monthly stock takes and giving reports on the same.
- Maintaining
the daily inventory records of all items and alerting the Procurement
& Logistics Assistant whenever inventories are about to
fall below assigned buffer levels.
- Receiving
and counting all items to ensure the quantities agree with the delivery
note.
- Inspecting
all received materials of any defects or damaged goods delivered by the
suppliers.
- Maintaining
high safety and health standards by reporting any potential risks and
maintaining a functional record on maintenance of all fire
equipments in the store
- Controlling
and monitoring employee’s access into the store.
- Housekeeping
– Ensuring that the stores work area is clean at all times and any damages
are reported and removed from the store. Product arrangement should be
done neatly for ease of location.
