Assistant - Regional Technical Assistance Program (RTAP) for Energy Efficiency and Renewable Energy (EE & RE) Development in EAC
The Assistant will work on full-time basis for 2-years and will assist the other members of the Agence Franaise De Dveloppement (AFD) Regional Technical Assistance in ensuring that all activities receive the requisite attention. Under the directive of the Project Manager or Lead Expert, the assistant will perform the following:
Duties & Responsibilities
Assist with implementation of the Regional Technical Assistance Program (RTAP) for Energy Efficiency and Renewable Energy (EE & RE) Development in EAC, including:
· Support the overall administration the RTAP staff; this entails sending out mail shots, organizing meetings including sending out invites, assisting with following-ups after meetings;
· Carry out Secretarial duties principally (including typing and sending out letters, faxes and mails; photocopies; etc..).
· Handling correspondence of incoming/outgoing calls and screening calls.
· File and dispatch documents including letters, faxes,
· Manages the RTAP filing system and archives;
· Organizes mission programmes, schedule meetings, make travel, accommodation and visas arrangements for the staff;
· Updates Contact lists and internal documentation database;
· Reception of visitors: welcome them to KAM / RTAP and assist them accordingly
· Ensure all office equipment (with the exception of IT equipment) and machinery are in working order and report any faults to the Management if need be
· Assist in ordering supplies, organisation of events/receptions
· Preparing Publicity Materials and dissemination of the materials
· Facilitate various workshops and trainings
· Mobilize participants to the various trainings and workshops
· Keep a database of all trainings and audits performed
· Keep a register of all the energy efficiency training courses offered by institutions and other trainers
· Assist in compiling the Progress reports and distributing it to the relevant stakeholders
· Perform other duties as they arise as directed by Team Leader Expert and Project Coordinator
Requirements:
· University degree in Economics, Environment, Business, Marketing, Mass Communications from a recognized institution.
· Computer proficiency.
· Independent thinking, Self-starter, result oriented, flexible and ready to learn,
· Team player,
· Good analytical and writing skills
· Strong presentation and communication skills with customer focus
· Minimum 2 years of professional working experience.
