Our client in the business of Outsourcing requires an Administration Manager

Duties and Responsibilities
  • Staff management creating a positive working environment in which e quality and diversity are well-managed and staff can do their best planning and allocating work
  • Monitoring achievement of deadlines, and supporting staff as appropriate managing performance and development, mainly through regular supervision sessions and the Performance development review process recruitment and induction of new staff.
  • To coordinate the workload of all administrative posts in the Operations team and provide direct line management, this includes
a. To be responsible for the line-management of administrative staff, delegating tasks, offering training, peer support, coaching as required, including facilitating appropriate development, undertaking supervisions and appraisals, and handling poor performance issues

b. Planning & co-ordinating activity 35%

  • Working with the Departmental heads to service to plan and prepare for departmental meetings; this includes agenda planning, recording and following up on agreed actions.
  • Sifting and prioritizing requests for administrative support in order to plan the workload of the Operations Administrative team ensuring that the activities of the Operations Directorate are supported and those administrative services are provided in a sustainable way. This includes:
  1. Liaising with the Director of Operations and the Heads of Service to ensure that that the needs of the department are understood and met .
  2. Maintaining an overview of activities across the department at all times to ensure effective use of resources
  3. Sharing information and knowledge and enabling cooperative working across teams.
  4. Evaluating the effectiveness of the support provided by the Administrative team and updating processes and procedures accordingly
  5. Developing systems to enable forward planning and cost savings, specifically around communication from Operational
The post holder will be working in a developing environment and he will therefore be expected to undertake other appropriate duties as required for the effective operation.

Decision Making Authority: Able to plan and prioritize workload of the Operations Administrative team to meet the needs of the directorate; able to authorize expenditure relating to administrative projects,

Qualifications: Educated to degree or diploma levels or equivalent

Experience:
  • Proven experience of effective supervision, motivation and support of staff
  • Proven experience of providing or overseeing successful administrative support and office systems within a complex organization
  • Experience of developing and maintaining information systems to support effective working
  • Experience of negotiating with external suppliers to secure the best service deals
  • Must be 30 years and above
  • Experience of effective delegation
Knowledge and Skills
  • Effective time and workload management
  • Effective project management skills
  • Knowledge and understanding of the implications of
  • Proficient in Microsoft Office

Salary is between KShs 80,000 - 100,000 depending  on experience
