The Office Administrative Assistant will be an essential position and will ensure the day to day running of the office is carried out smoothly and will be the contact point between Management, Client and Team Members.

Job Purpose: Provides office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.

Key Responsibilities:

Reporting

  • The team will provide feedback on pending work (individual, corporate & schools) to the AA then communicate the same to Management
  • Ensure all project deadlines are met and escalate to Management when/if necessary
  • Prepare reports for Management: Photography Club reviews (weekly), Pending Work (daily), Pre-qualification reports (when they arise)
  • Preparation and submission of monthly VAT returns to Management
Office Management
  • Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
  • Maintain the filing system of the company such as hardcopy, softcopy that are related to the job
  • Prepare all tender prequalification documents
  • Maintain records on Photography Club payments. This also includes following up on payments through the Club Patron
  • Handle all Corporate Communication inquiries
  • Provide HR support and handle enquiries from employees.
  • Maintain office diary (bookings & project deadlines)
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Contribute to team effort by accomplishing related results as needed
The Successful Candidate MUST meet the following Requirements:
  • Diploma holder; University/College degree an asset
  • Minimum 5 years’ experience as Administrative Assistant
  • Ability to juggle multiple tasks with superb accuracy and time management skills
