Events Manager

Reports to: CEO

Purpose: The purpose of this position is sourcing, planning and running events.

Duties and Responsibilities
  • To ensure the smooth running of entire event/function.
  • Keep current with market trends as fur as events are concerned.
  • Establishes a marketing strategy and action plan.
  • Identify, negotiate and manage significant strategic partnerships, alliances, and relationships that support the organization’s current and emerging directions.
  • Participates in meetings and special events as required from time to time.
  • Liaise and manage relationship with vendors, including printing companies, and design houses.
  • To be responsible for communicating effectively with colleagues about all events, ensuring that the program relates to other activity wherever possible.
  • To be responsible for setting the cost and monitoring budgets for each event in a way that ensures that they cover all core costs and generate income.
  • To work closely with Finance to ensure that we have accurate and up to date financial information for each event.
  • To be responsible for the successful marketing and evaluation of the program of events.
  • To process enquiries and bookings relating to the events program.
  • Follow up to increase the client’s likelihood they will use the facilities again.
Authority

The authority of the events manager is vested in the CEO.

Requirements
  • An undergraduate degree in a related field, such as hospitality management, communications or business.
  • Aside from a college degree, an event manager must have managed similar events or has at least managed several large-scale events for at least three (3) years.
Information Technology Officer

Purpose of the Position

The Information Technology Officer is responsible for installing and maintaining computer hardware, software and networks.

Scope

The Information Technology Officer reports to the Head of ICT and provides hardware and software maintenance, consultation, and recommendations about future planning and development of resources within the organization.

Providing these services in an effective and efficient manner will ensure maximum access to and implementation of technology services and resources.

Responsibilities

1. Manage information technology and computer systems
  • Plan, organize, direct, control and evaluate the operations of information systems and electronic data processing (EDP)
  • Meet with managers to discuss system requirements, specifications, costs and timelines
  • Follow up and liaise with information systems personnel and contractors on design, development, implementation, operation and administration of computer and telecommunications software, networks and information systems
  • Advice on the computer systems budgets and expenditures
2. Ensure technology is accessible and equipped with current hardware and software

Main Activities
  • Troubleshoot hardware, software and network operating system
  • Be familiar with all hardware and software within the organization
  • Be familiar with network operating system
  • Provide orientation to new users of existing technology
  • Train staff about potential uses of existing technology
  • Train staff about new and potential use
  • Provide individual training and support on request
  • Provide recommendations about accessing information and support
  • Maintain current and accurate inventory of technology hardware, software and resources Information Technology Manager
3. Monitor and maintain technology to ensure maximum access

Main Activities
  • Troubleshoot all technology issues
  • Maintain log and/or list of required repairs and maintenance
  • Make recommendations about purchase of technology resources
  • Research current and potential resources and services
  • Provide network access to all staff
  • Install work stations
  • Connect and set up hardware
  • Load all required software
  • Provide network accounts and passwords as required
  • Monitor security of all technology
  • Install and maintain Foolproof and passwords
  • Input and maintain IP addresses
  • Advise staff of security breach and/or change in password or security status
  • Ensure installation of lock out programs
  • Identify and prepare hardware for disposal when appropriate
  • Ensure hardware is stripped and secured before disposal
4. Perform other related duties as required during working hours

Sales Coordinator

Summary: The role of a sales coordinator is to take and process quotation requests from customers, actively seek the conversion of inquiries to orders and act in a customer service role between our production staff and customers.

Responsibilities
  • To be responsible for accurate and timely issue of quotations and proforma invoices to our customers as required.
  • To process inquires by phone, fax, email and personal visits in relation to company business
  • To meet customers on our premises to discuss their requirements.
  • To maintain good relations with our customers
  • To maintain an efficient working environment.
  • To make accurate purchases of material supplies for resale as required and take customer payment by credit/debit card as required.
  • To solve problems by liaising with the other staff and the customer.
  • To manage the sales processes for all our clients
  • To manage the sales pipeline
  • To ensure follow through of all our client promises
  • To facilitate proper networking of all our departments to ensure client satisfaction
