Bid Manager

Scope:

The job holder will be part of the Sales team and will Support and enhance the sales management process.

He/ She will assist to coordinate sales meetings, prepare minutes and maintain the electronic records of sales business, bids, tenders etc.

He/ she will initiate tender definition meetings and workshops with account managers when tenders/bids are advertised or requested for.

He/She will also liaise with business partners on all the other necessary documents required for bid conformance.

He/ she will generate and maintain weekly sales progress reports on bids and tenders for weekly/ monthly sales meetings.

He/she will also provide weekly monthly tender reports to management and provide possible remedies for improvement of the sales management process. .

He/ She will be responsible for preparation and organizing the bid resources to produce the required deliverables from the bid.

Reporting Relationships:

The job holder will report to the Sales Director.

1. Principal Accountabilities:

a) The Bid Manager will be accountable and responsible for:

i. Assessing of the bid resources required and their availability.

ii. Making available the output from the Bid/No Bid review.

iii. Producing Bid templates and managing the Bid Library (and other bid infrastructure).

iv. Managing the output of Discovery activities including assumptions and dependencies and planning for Due Diligence completion.

v. Ensuring use of Quality Management Systems.

vi. Confirming that the proposal is deemed acceptable from the perspectives of Commercial / Sales, estimation, Procurement, Human Resources, Risk

Planning and that it is authorized at Bid Approval.

vii. Arranging for all bid requirements (bid bonds etc).

viii. Arranging Bid (and/or bid stage) initiation meetings.

ix. Defining the structure of the proposal.

x. Planning and managing the bid activities, resources and bid risks.

xi. Identification of areas of skill and capability required for the bid and the subsequent contract fulfillment, either from the company or from Third party suppliers.

b) The Bid Manager will be accountable for (but may delegate responsibility) for:

i. Identification of the skills and capabilities for the bid and the contract fulfillment, from the company or from third parties.

ii. Ensuring that all Project and Service Plans have been reviewed and updated.

iii. Ensuring that transition projects, Resource Plans, Risk Plans and Quality plans are in place.

iv. Arranging independent Team review of the Proposals.

v. Recording, analyzing and managing issues, risks, changes and dependencies during the bid.

2. Education Requirements:

i. Relevant University degree in BBIT, Business Management or equivalent education from reputable institution.

3. Experience/Skills Required:

a) Experience:

i. Minimum of 3 years in IT and 2 years in Bid or Project Management.

ii. Young ambitious pre-sales consultant with the ambition to develop to Corporate Account Manager or Business Development Manager.

iii. Considered an asset: Project Management skills

b) Core competencies:

i. Good communication Skill: fluent oral and written English,

ii. Good Commercial feeling with business awareness and customer understanding.

iii. Good overall know-how of IT Services Industry (Consulting, Application Development and Infrastructure).

iv. Aptitude to plan & organize and meet all deadlines.

v. Ability to work with a team.

vi. Excellent project management skills.

vii. Pro-active and ability to think outside the box.

viii. Eager to learn.

c) Other Requirements:

i. Team spirit, enjoy to work in an animated environment were 'positive' stress is guaranteed (stress resistant).

ii. Ability to understand complex processes.

iii. Customer minded attitude.

iv. Good analytical skills.

v. Good interpersonal and communication skills, including ability to write memos and reports and to present subjects on different matters.

vi. Aptitude to self-learning.
