Job Advert: Operations and Logistics Specialist
 
CAP Youth Empowerment Institute Kenya, is supported by MasterCard Foundation, was established to provide Basic Employability Skills Training (BEST) for disadvantaged youth in the society with particular focus on women to get equitable, qualitative learning and access to promising labour market oriented opportunities, savings and credit that support their pathways to safe and positive futures. 

The key purpose of the organization is to assist 10,000 disadvantaged youth to make informed choices, develop labour-market oriented employability skills and access job placements, savings and enterprise development support.

About the Position: Successful candidate will be charged with the responsibility of ensuring efficient and smooth running of the CAPYEI Office by ensuring that all activities take place in accordance with the organization policies and procedures at all times. 

The Operations and Logistics Specialist provides primary support to the program by providing general administrative and procurement assistance to technical staff in relation to this position.

Duties and Responsibilities   
  • Coordinate office logistics such as printing of materials, stationery and transport.
  • Plan and coordinate approved international and national travel arrangements and other travel logistics.
  • Maintain an up-to-date list of prequalified vendors.
  • Enforce CAPYEI procedures at workshop venues and other events.
  • Maintain a register of all past and planned (quarterly) travel, workshops, workshop expenses and dates.
  • Coordinate CAPYEI staff meetings (inviting staff, coordinating venue etc.).
  • Ensure office safety and welfare.
  • Supervise the General Office Assistants and other administrative staff as may be assigned
  • Manage expense claims in line with company policy.
  • Manage and monitor the office inventory and report any damage or breakages to company equipment.
  • Take receipt of deliveries of equipment to the office and report any discrepancies.
  • Oversee and maintain the office and program filing system.
  • Make necessary accommodation and transport arrangements for visitors as and when required.
  • Provide quotations should any major purchase be necessary for company equipment in Kisumu.
  • Ensure availability and monitor all utilities in the Office/Centres including internet, water and power.
  • Provide support, assistance and resource coordination for other program activities as shall be from time to time required.
  • Provide administrative and logistical coordination for Seminars, Workshops, Training(s) and other special events facilitated by CAPYEI in consultation with the relevant technical staff.
  • Perform general office duties, such as ordering supplies and performing basic bookkeeping work.
  • Compile and review invoices against orders, taking necessary corrective steps before submitting invoices for payment.
Requirements
  • University degree in a business related field
  • Diploma in Purchasing and Supplies Management from a reputable institution.
  • Minimum of 3 years’ relevant experience.
  • Relevant experience in workshop and event management.
  • Strong organizational skills and ability to work in a team-oriented environment.
  • Flexibility in performing tasks according to changing priorities; yet able to accomplish tasks in a timely manner.
  • Ability to handle multiple tasks simultaneously and work independently but as part of the team.
