Administrative Assistant - Reception

To be based in Nairobi, Kenya.

Under the supervision of the Human Resource Manager, the Administrative Assistant- Reception will provide full time front office and administrative support to the functions of the administration and operations team.

Major job duties will include but not limited to:
  • Receiving and guiding all visitors to WWF-ESARPO/KCO;
  • providing general information to visitors about WWF-ESARPO and where possible about the network;
  • undertake all switchboard operations;
  • monitor the fax machine for all incoming and outgoing faxes.
  • liaising with the Finance department, analyze all the telephone/fax bills monthly with a view to ensuring that costs are properly charged to the relevant cost centre;
  • under the direction of the Operations department, assist in the typing of the custom documents;
  • ensure the faxing of travel authorization forms and forwarding the same to Finance department, linking with travel agents for tickets;
  • working closely with the Operation department coordinate office errands and transport requests;
  • ensure that all office equipment are in good working conditions, reporting any breakdown promptly.
The incumbent must possess:
  • Secretarial/Front Office qualifications with a minimum of 3 years experience in a busy office;
  • Diploma in Business Administration would be an added advantage;
  • Excellent computer applications knowledge e.g. MS office;
  • Excellent use of email systems;
  • good physical outlook with excellent interpersonal skills, a pleasant personality with ability to work in teams in a multi-cultural environment;
  • excellent computer skills; fluency in English and Kiswahili;

Programme Assistant

To be based in Nairobi, Kenya.

Under the supervision of the Conservation Manager, the Programme Assistant will provide technical and policy support to the conservation programme.

S/he will be expected to assist project managers in project planning as well as monitoring and evaluation of progress and reporting of the same.

Major duties will include but not limited to:
  • monitoring by taking the lead in the design and implementation of a monitoring framework to track delivery against KCO goals and objectives;
  • take lead in the analysis of data collected under the monitoring framework for assessment of progress and areas for improvement;
  • provide regularly updated reports to the Conservation Manager on the status of implementation against KCO goals and objectives;
  • provide legal and policy support to the functions of the WWF-KCO Conservation Manager especially on the review of the Wildlife Bill, development of a CBNRM policy, forests policy, general environmental law and policies thereof;
  • assist the Conservation Manager in tracking, consolidating and forwarding of project progress technical reports to WWF International and/or the relevant National Organizations and donors;
  • in close liaison with the Conservation Manager, maintain regular contact with WWF donors and respond to queries and special requests from and within the WWF Network;
  • take lead in M&E training activities for KCO Project staff, including WWF Standards (PPMS) workshops;
  • ensure liaison with field projects and when necessary arrange field supervisory and supportive visits;
  • ensure compliance to reporting schedules and network standards, both internal and external, for all projects and conservation activities.
The incumbent must possess:
  • a University degree in the field of policy/law or natural sciences (conservation, environment, natural resource management, marine, forestry, fisheries, terrestrial ecology, animal sciences);
  • at least 3 years  professional experience in project/programme management and/or support role;
  • excellent knowledge of the natural resources related policies, development and conservation community in Kenya;
  • skills in project proposal writing and M&E;
  • excellent written and oral communications skills;
  • possession of reasonable organisational and analytical skills;
  • strong vocational interest in nature conservation;
  • a working knowledge of financial management, especially of projects;
  • excellent inter-personal skills, with the ability to network and to develop and maintain strong relationships with field staff;
  • adaptable, flexible, able to take initiative and prioritize among competing demands;
  • good computer knowledge;
  • adherence to WWF’s values, which are: Optimistic, Engaging, Determined and Knowledgeable;

Motor Bike Rider

Responsibilities
  • Deliver and collect items.
  • Maintain the motorbike:-
  1. In a presentable and clean state.
  2. Check engine and gear box oil level as specified.
  3. Verify correctness of all tyres air pressure as specified in manufacturer’s manual and assess tyres, retread, wear, evenness and damage.
  4. Ascertain the serviceability of all lights, horn, brakes, accelerator and ensure the brakes and clutch systems are working properly.
  5. Ensure the number plates are secured properly.
  6. Confirm validity of insurance cover and all traffic requirements.
  7. Ensure compliance to proper traffic rules governing road usage.
  8. Ensure paramount safety of the motorbike.
Requirements
  • Holder of KCE Division IV or KCSE mean grade of D+ (plus).
  • At least 3 years relevant experience in a busy transport setting.
  • A clean riding record.
  • Ability to work with minimum supervision.
  • Reliable with high level of integrity.
  • Good communication and interpersonal skills.
  • Good knowledge of urban set up.
Carmix Operator

Responsibilities
  • Responsible for the proper mix delivery and proper slump of concrete from the mixer truck.
  • Ensuring timely delivery to sites.
  • Inspect the inside of mixer truck drum on a daily basis to ascertain excess buildup and/or worn fins and report any deficiencies to the supervisor.
  • Maintain the mixer truck in a safe operating condition and report any mechanical problems immediately to the supervisor.
Requirements
  • Holder of KCE Division III or KCSE mean grade of C- (minus).
  • At least 3 years relevant experience in driving a mixer truck.
  • A clean driving record.
  • Ability to work with minimum supervision.
  • Reliable with high level of integrity.
  • Good communication and interpersonal skills.
