A leading public Agribusiness Company is seeking to recruit a dynamic and enterprising individual to fill the position of PA to the Managing Director.

Based in the Company’s Nairobi head office, the job holder will be responsible for coordination of activities in the Managing Director’s Office in relation to administrative, public relations, secretarial and support services in an effective and confidential manner.

Key Duties & Responsibilities

Reporting to the Managing Director, the successful candidate will be responsible for:-
  • Managing and maintaining the Managing Director’s diary – Appointments, Meetings and events;
  • Managing and maintaining efficient and effective communications channels between the office of the Managing Director and other parties including Business Units/ Support Units and External Customers;
  • Read and analyze incoming mail, memos, requests and reports to determine their significance and plan their distribution and appropriate responses where applicable;
  • Receiving and screening incoming calls, visitors, correspondence and determining best course for their distribution to MD or other parties;
  • Coordinate meetings that involve the MD and take minutes when required;
  • Maintain proper filing of records to facilitate speedy and efficient retrieval of documents within the Managing Director’s office;
  • Liaise with HR & Administration Office on preparation of both local and international travel logistics as well as Accommodation for the Managing Director;
  • Create relevant reports, carry out basic research and analyse data when required to assist the Managing Director;
  • Act as a link between the Managing Director and other Directors and the Heads of departments on various issues arising in the business;
  • Action all directives given from the Managing Director as and when necessary.
Qualifications and Competencies
  • Bachelors Degree in Business Administration/Secretarial Studies
  • Appropriate Diploma qualification in relevant field such as Business Administration, Secretarial studies or Public Relations
  • Minimum 3 years relevant experience preferably gained in providing support to Senior Management in a busy office
  • Good MS Office knowledge; Word/Excel/ Power Point/ Outlook
  • Self starter with personal initiative and ability to work without supervision
  • Excellent Oral and Written communication skills
  • High levels of confidentiality, integrity and good client relations

Norwegian Refugee Council (NRC) Somalia / Kenya is a two Country Program with four field offices in Dadaab (Kenya), Hargeisa (Somaliland), Bossaso (Puntland) and Mogadishu (South Central).

Position Vacant: Procurement Assistant

Reporting to: Logistics Officer

Duty Station: Dadaab

Duration of Contract: ASAP to 31st December 2012 (with possible extension)

Main Responsibilities include:
  • In liaison with the Logistics Officer implement the procurement planned activities in line with NRC procurement policies and procedures.
  • Receive purchase requests and verify all the relevant details and documents
  • Develop a standard list of supplies for Dadaab and establish a database of quotes for various items
  • Where necessary send requisitions to the Nairobi office for the required purchases
  • Track all project materials requests, purchase orders and contracts
  • Receive all incoming supplies; inspect and verify for conformity to the order specifications and delivery notes
  • Register and maintain proper files of requisitions, quotations and purchase orders and other relevant documents.
  • Prepare documentation for bids committee meetings
  • Follow up with supplies and organize for delivery of materials and payment
  • Follow up on repairs of equipment and machines from the field and ensure timely delivery
  • Liaise with logistics assistant on the planned arrival of materials and equipment meant for warehousing and obtain the necessary documentation to facilitate payments to vendors
  • Prepare periodic procurement status report and share as appropriate
Required skills and qualifications:
  • Diploma in Logistics or Supply Chain Management
  • At least 3 years working experience in a busy Logistics department preferably with INGO or UN.
  • Excellent interpersonal, written and verbal communication skills.
  • Fluency in the English, both oral and written
  • Ability to work under pressure.
  • Excellent working knowledge in Microsoft Office.
Position Vacant: Radio Operator

Reporting to: Safety and Security Officer

Duty Station: Dadaab

Duration of Contract: ASAP to 31st December 2012 (with possible extension)

Main Responsibilities include:
  • Personally operate and attend to radio equipment in order to communicate with NRC vehicles and staff in the field, other NRC offices, implementing partners, other NGOs and the UN radio room in order to receive and transmit instructions and messages
  • Maintain clear and up to date station logs of messages transmitted and received through the radio
  • Monitor emergency frequencies in order to detect distress calls and respond by dispatching the information to the appropriate people in NRC management and elsewhere
  • Frequently monitor on the radio all vehicles and staff on field trips and record on the Road Tracking Sheet, while keeping the appropriate supervisors updated
  • Conduct periodic equipment inspections and routine tests in order to ensure that operations standards are always met
  • Coordinate radio-related aspects of locating and contacting staff that are missing or in distress
  • Send, receive, and interpret coded messages
  • Assist in receiving and personally searching visitors reliably and ensure that they are searched in compliance with NRC security procedures for checking visitors
  • Immediately report any potential threat to NRC staff, assets and facilities to the management
Required skills and qualifications:
  • Certificate in Security
  • Kenya Certificate of Secondary level education
  • Minimum of 2 years’ relevant field experience
  • Experience in radio communication and office reception
  • Be conversant with alarms, HF/VHF radio and other technology-based security systems.
  • Good investigative and reporting skills
  • Good communication and interpersonal skills

We are seeking to fill the position of Database Officer, Programme Management.

Job purpose

Reporting to the Head of Programme Management Unit (PMU) at AMREF Headquarters, the Database Officer (DBO) will be responsible for the design, development, maintenance, performance, integrity and security of programme-related databases and for integrating these databases into an integrated AMREF programme database management system (AP-DBMS) to support AMREF’s achievement of health results.

The DBO will also be responsible for assessing users’ requirements, ensuring that the AP-DBMS meets AMREF users’ needs, and working with AMREF’s Information Technology (IT) unit for support on the AP-DBMS.

Specific Roles
  • Map out the conceptual design for planned databases and the overall AP-DBMS;
  • Translate AMREF’s programme management system into a logically designed data model and AP-DBMS outline;
  • Establish various databases based on user needs, monitoring user access and security and linking each new database to the overall AP-DBMS;
  • Monitor performance and managing parameters to provide fast query responses to front-end users;
  • Work with AMREF IT Unit on physical specifications to support the AP-DBMS; to develop, manage and test back-up and recovery plans for the AP-DBMS; and to ensure database integrity and security;
  • Work closely with the IT unit and PMU staff in designing and populating databases to improve knowledge and programme management;
  • Maintain data standards, including refinement of and adherence to the AMREF Data Protection Knowledge Management Policy;
  • Develop database documentation, including data standards, procedures and definitions for the data dictionary, and ensuring compliance with AMREF IT policies;
  • Manage new and existing AMREF programme databases to ensure they are up-to-date and relevant to the organization’s needs;
  • Train AMREF staff on use of the AP-DBMS;
  • Plan, commission and install new applications and customise existing applications in order to make them fit for purpose;
Qualifications

Education, Training and Experience
  • Minimum of a Bachelor's Degree in Database Management, Information Technology, Computer Science. Additional qualifications in project management, results-based management and/or public health are highly desirable.
  • Formal training in Database Management Systems (DBMS) administration and maintenance, database design, analysis, and management;
  • Minimum 3-years formal work experience as a database designer, information systems analyst, database developer, and/or database administrator, preferably in the health and NGO sectors.
  • Demonstrated knowledge and experience in at least three of the following areas of work, which must be specifically highlighted in the cover letter and CV:
  1. Development and maintenance of Management Information Systems;
  2. principles of data organization and project management;
  3. advanced database design concepts;
  4. database integration and hosting on intranet and/or internet platforms;
  5. fundamentals of layout and design, and user interfaces for both on-line access and report generation;
  6. programme use of database technologies, including coding structures and reports;
  • Data assessment and requirements development.
The ideal candidate will also have knowledge and experience in the following:
  1. use of data mining and analysis tools;
  2. database applications in public health and development;
  3. use of databases to support health programme implementation;
  4. advanced problem solving skills in information technology, applied to public health and programme management.
