Location: Lodwar, Turkana District

Salary: Gross of Ksh.43,987.50 per month.

Overall Objective of the Position
 
The overall objective of the position is to ensure the smooth running of finance procedures of the Merlin Turkana office.

Main duties and responsibilities:
  • Responsible for all cash and cheque payments pertaining to the programme.
  • Keep the cashbook up to date at all times with records of all expenditure and verify the same with regular cash counts while keeping the receipts clearly labelled.
  • Enter all data on to the computerized cashbooks ensuring the correct account codes are used.
  • Keep the computerized Bank Book up to date.
  • Responsible for all cash transfers arriving from Nairobi, the bank account transactions and withdrawals into the cash box.
  • Ensure that the cash box is kept in a discrete and safe place at all times.
  • Ensure that all receipts are correctly referenced and that photocopies of each are filed and sent to Nairobi office by the first day of the next month.
  • Keeping up-to date financial records and transactions.
  • Stamping and photocopying payment vouchers at end month closure.
  • Assist the ACFM in maintaining a well-organized, clearly labelled filing system for all finance records and correspondence, copies of the financial reports as sent to Donors, budget revision requests and letters, etc.
  • Assist the ACFM in ensuring that all supporting documentation of payment vouchers and receipt vouchers are attached securely for ease of reference.
  • Assist in maintaining a reference numbering system of all vouchers from the different grants.
  • Ensure documentation of all local (i.e. program specific) financial policies and procedures is kept in separate file, accessible to staff of finance department
  • Ensuring that documents received from the Field sites are as per the transmittal memo.
  • Assisting Finance Department in daily routines.
  • Assist in keeping track of movements of all vouchers from the Field sites and to the office.
  • Assist in retrieving finance supporting documents as per donor reports upon request of Finance Department staff, priorities are to be set by FA in consultation with CFD
  • Assist in maintaining a set of complete and accurate financial records, including all relevant supporting documentation.
  • Maintaining a file for ex-salary advances and keeping track of the deduction on a monthly basis, deviations to be reported to FA immediately
  • Maintaining a file for all finance correspondence internally and with Field sites.
  • Keep up the register for all incoming and outgoing Payment Request in Finance Department.
  • Do weekly cash counts with the review done by ACFM
  • Any other reasonable duties as assigned.
Essential Requirements
  • First degree in business and preferably finance or accounting options.
  • 2 years’ experience working in the NGO world
  • A good understanding and working with various donors i.e. EC, UNICEF, OFDA, DEC, DFID.
  • Fast experience in computers especially accounting packages(software)
  • Able to settle well and working in harsh environment of Turkana County.
  • Should be a team player and able to meet deadlines
