The first Bridge International Academy launched successfully in Kenya in 2009 and 60 academies will be operating in Kenya in January 2012. Through rapid and strategic expansion, Bridge International will provide a quality education to over a million students in the coming years

About this position

We have and are continuing to develop one of the most sophisticated operational approaches to providing affordable education to MILLIONS of children in one of the most challenging environments in the world and are looking for an Office Emissary whose duties will include:
  • To carry out basic administrative tasks at the office among others
  • Payment of statutory and bank services allocated by Head Of Finance
  • Handles tasks to various agencies outside the office.
  • Support front office team through opening and closing of office according to agreed schedules
  • Assist in general cleaning duties, shredding and dusting of office equipment
Job Responsibilities
  • Ensure office equipment, including printers, copiers, power cords, monitors, etc. are clean and well maintained daily, using proper cleaning materials, taking care of safety of materials using the provided process.
  • Reporting any faults encountered on equipment and other office appliances.
  • Delivery and collection of mail, cheques and other company documents through the mail registry and any communication given by supervisor.
  • Assist in general maintenance of office equipment, shredder empting, laminators, learning proper use of office machines and keeping a schedule of cleaning work done on each equipment for review with Admin officer.
  • Check the status of office supplies, and follow up replenishment.
  • Assist in verification of re-order level of office supplies, this includes drinking water, photocopying paper etc
  • Opening office for staff and contractors based on pre arranged scheduled as guided by Admin officer.
  • Opening and closing windows and blinds where required and ensuring proper care to avoid damage.
  • Provide support to the reception desk. seating as stand by when called upon, assist in filing when called upon, ensure front desk is clean and neat.
  • Ensure offices are locked after office hours following the laid down procedures for control of office hours.
  • Act as Bank agent when formally appointed to do so on a limited basis subject to authorisation by the head of finance or directors.
  • Purchase general office supplies which are required on an adhoc basis when ensuring compliance with set procurement and administrative finance procedures.
  • Payment of statutory and office bills including PAYE by 9th of every month, NSSF by 15th of every month, NHIF by 9th of every month.
  • Arrange rooms during meetings as instructed by admin officer.
  • Assist in moving and arranging furniture when required subject to instruction.
  • Distribute outgoing and incoming mails through the standard mail register
  • Provide office support to all departments
  • Maintain a detailed schedule of daily activities for discussion with supervisor when called upon.
  • Report any incidences related to your task.
  • Project a positive image of the company wherever you go when dealing with external parties.
  • Any other duties that may be from time to time be allocated to you by admin officer in line with your responsibilities.
Role Reports:
  • Incident reports as they arise
  • Report of weekly activities
  • Office supply usage trends
  • Other reports related to the job
Specialist knowledge required:
  • Ability to speak fluent English & Kiswahili
  • Ability to keep records
  • Ability to keep time
  • Ability to communicate events as they occur
About you
  • 2 years’ related experience in a busy office environment in a similar position with a good record of performance and positive feedback.
  • Demonstrated previous experience in administrative and related tasks
  • KCSE- Minimum C with basic knowledge of front office , security, exposure
  • Organized, neat and orderly
  • Able to work quickly and respond rapidly to requirements
  • Attention to detail including records and care for equipment and information
  • Positive attitude and able to withstand positive criticism
  • Good communication skills
